Is Unlimited Print Volume on a Copier Service Contract Really Unlimited?

The “unlimited volume” rate could be set at such a high volume that you and your users could never reach if you tried. 

Unlimited. The word just sounds so enticing — be it Internet data plans or copier service contracts. But is there more to the story?

Some copier providers today are throwing out the term “unlimited volume” when setting print maintenance rates on a service contract. Print as much as you want, they claim, and this rate will not budge.  Is this a game-changing copier service philosophy aimed purely at your convenience and peace of mind? Or a bit of a gimmick? In our estimation, it’s more of the latter.

What is 'Unlimited Volume,' really? 

Often, providers will offer two proposals: One is set up at a more standard cost-per-copy scenario with a set minimum, and then the cost-per-click rate after that. On the second proposal, the “unlimited volume” rate could be set at such a high volume that you and your users could never reach if you tried. Sometimes, there may be terminology stating that if you exceed a certain amount, then you would be subject to an increase in payment. Bottom line? You’re overpaying for prints you don’t need.

So, the answer to this question is likely, no, unlimited print volume is not actually unlimited. Hidden somewhere is the actual cost-per-copy rate that you may or may not see.  In order to be good stewards of an organization’s money, a fairer, more transparent methodology is to pay for cost per copy, and then ONLY pay for exactly what you use beyond that.

Our advice? First, make sure and get the full details about your proposal, and be sure to dig into the fine print. Also, consult with a reputable copier provider with a proven track record of customer satisfaction and service expertise. Ask them to take a hard, honest look at your current print environment and explore ways to help you maximize your return on technology investment... no gimmicks necessary.
